How to make a debit note in three steps.

  1. Step 1: Reference the invoice

Start from a preset or a blank page, set the debit note number and date, and enter the original invoice number as the reference.

Add the customer, then list each extra charge or adjustment with a quantity, price and amount. Show tax if it applies.

  3. Step 3: Review and download

Give the reason in the notes, add an Approved by line if you need one, and download the PDF with Pro.

Questions, answered.

What is a debit note?

A debit note is a document that records an amount owed in addition to, or as an adjustment to, an earlier invoice. In many places a seller issues it when a customer was undercharged, and in others a buyer issues it to a supplier when returning goods.

What is the format of a debit note?

A debit note usually shows its own number and date, both parties, the original invoice number, the reason, each item adjusted with its price and amount, any tax, and the total. Some tax systems also require specific wording.

What is the difference between a debit note and a credit note?

When a seller issues it, a debit note raises what the customer owes, while a credit note lowers it, for example after a return or refund. To reduce an invoice, use the credit note generator.

Does a debit note need tax details?

If you are registered for VAT, GST or sales tax, a debit note that changes a taxed invoice often needs the tax shown and the original invoice referenced. Requirements vary by country, so check with your accountant or tax authority.

Can I make a debit note for free?

You can build and preview one free, without signing up. Downloading the PDF needs Pro, at $11 a month or $110 a year, with a 14-day free trial and no card required.

How should I number debit notes?

Give debit notes their own sequence, such as DN-0001, separate from your invoices. Our guide to invoice numbering explains how to keep sequences consistent.
