Landscaping Invoice Template

Landscaping mixes recurring maintenance with one-time installs, and many properties are billed monthly across a season. Mowing, plant material and repair labor sit on separate lines, with room for the service period. Property managers can match it to their contract in a glance.

Seasonal work, billed with clarity.

What to include on a landscaping invoice

  • Service period and visit count

State the month and how many visits were completed. Weather delays happen, and the invoice should reflect what actually took place.

  • Plant and material quantities

List plants by container size or flat and materials by the yard or bag. Clients want to see what went into the ground.

  • Install and repair labor

Show crew hours on irrigation, planting or hardscape apart from routine maintenance, so the contract fee stays recognizable.

  • Property or zone

For HOAs and multi-site clients, name the property or zone so the invoice reaches the right budget line.

Billing tips for landscapers.

  • Offer seasonal contracts

A fixed monthly fee spread across the season smooths your cash flow and gives clients a bill they can predict.

  • Bill installs at milestones

For larger planting or hardscape jobs, request a deposit for materials and a final payment at completion.

  • Note weather-related changes

If a visit was skipped or rescheduled, say so in the notes. It heads off questions and preserves trust.

Landscaping invoicing, answered.

Is landscaping taxable?

Maintenance labor is often treated differently from plants and materials, and the rules change from state to state. Ask your accountant whether to charge tax on materials, labor or both.

How should I invoice monthly maintenance contracts?

Bill the agreed monthly fee with the service period and visit count, then add any extras below it. The base contract stays steady while one-off work is clearly identified.

Can I charge for green waste disposal?

Yes. Dump fees and green waste hauling are commonly listed as their own line or folded into an install price. Either way, mention it in your estimate so it's expected.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
