Legal Invoice Template
Legal clients scrutinize invoices line by line, and well-kept time entries make that review straightforward. Retainers, hourly entries by attorney and paralegal, and costs advanced on the client's behalf each have a place. The matter name and number stay visible throughout.

What to include on a legal services invoice
Matter name and number
Every invoice should identify the matter it relates to. Clients with several matters, and their insurers, depend on it.
Time entries by timekeeper
Show date, timekeeper, task and time in tenths of an hour. Grouping by attorney and paralegal makes rates easy to verify.
Costs advanced
List filing fees, courier charges and expert costs separately from professional fees, ideally with receipts.
Trust account activity
If you hold a retainer, show the opening balance, amounts applied and what remains. Trust accounting rules vary by jurisdiction, so follow your state bar's guidance.

Terms. Payment is due within 30 days. Retainer funds held in trust are applied as described in your engagement letter, and unpaid balances may accrue interest as that agreement allows.
Billing tips for attorneys.
Write descriptive time entries
Describe what was done and why, not just 'research' or 'call.' Clear narratives reduce billing disputes and write-downs.
Bill monthly, without exception
Regular invoices keep fees from accumulating into a figure that surprises the client. Smaller, frequent bills are easier to approve.
Replenish retainers promptly
If your engagement uses an evergreen retainer, request a top-up as soon as the balance drops below the agreed floor.
