What is a proforma invoice?

A proforma invoice is a preliminary bill of sale sent before goods ship or work is delivered. It sets out what the buyer will receive and what it will cost. Our guide to the proforma invoice covers it in more depth.

Is a proforma invoice a tax invoice?

No. It describes a sale that hasn't been completed yet, so it is not usually treated as a tax invoice or recorded as revenue. Rules vary by country, so check with an accountant if you're unsure.

When should I use a proforma invoice?

Use one when a buyer needs to pay in advance, arrange financing or apply for an import permit before goods ship. It also works as a firm quote for international orders.

Can customs use a proforma invoice?

Some customs authorities accept a proforma invoice when a commercial invoice isn't available yet, for instance with samples or goods not for sale. Requirements vary by country, so confirm with your freight forwarder or customs broker.

What happens after the buyer pays?
