What's in the Word invoice template

  • Your business details

Placeholders for your business name, address, email and phone sit at the top of the page. Click one and type to replace it.

  • Invoice number and dates

The invoice number, issue date and due date sit beside the Invoice title, where clients look first.

  • A Bill to block

Room for your client's name and address. Use the details of whoever approves payment.

  • An eight-row items table

Columns for Description, Qty, Rate and Amount. Need more lines? Press Tab in the last cell to add a row.

  • Subtotal, tax and total due

These are typed by hand. Word doesn't calculate, so check each figure before you save the PDF.

  • Notes and payment terms

A short thank-you, and the terms that tell your client when and how to pay.

  • Letter size, A4 friendly

The page is set up on US Letter and prints on A4 too. To switch it fully, choose Layout > Size > A4.

Tips for people who invoice in Word.

  • Keep the template untouched

Save each invoice under a new name, such as INV-0042 Brightwater.docx, and leave the original blank. Next month starts from a clean page.

  • Check the math twice

With hand-typed totals, one slip carries all the way to the total due. Recalculate each line before you send, or use the Excel version, which adds up for you.

  • Send the PDF, not the Word file

A PDF looks the same on every device and can't be changed by accident. The editable .docx stays with you.

Word invoice templates, answered.

Does the Word invoice template calculate totals?

No. In Word, Amount, Subtotal, Tax and Total due are typed by hand. If you want them calculated, use the Excel version or the free invoice generator.

How do I add my logo in Word?

Click at the top left of the page, choose Insert > Pictures and pick your logo file. Drag a corner handle to size it, and check that the page still fits on one sheet.

Can I open it in Google Docs, Pages or LibreOffice?

Yes. Upload it to Google Docs with File > Open > Upload, or open it in Apple Pages or LibreOffice Writer. Spacing can shift slightly between apps, so check the layout before you save a PDF.

How should I number my invoices?

Give every invoice a unique number in sequence, such as INV-0001 followed by INV-0002. Our guide to invoice numbering covers formats that stay tidy for years.

When is the online generator easier than Word?

When you'd rather not do the math or fit a logo by hand. The free invoice generator totals every line, places your logo and makes the PDF, and your draft is saved in your browser.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
