What to include on a consulting invoice
Purchase order number
Larger clients route invoices through procurement. A missing PO number can send an invoice back to the start of the queue.
Engagement reference
Name the statement of work or engagement letter this invoice falls under, especially if you run several projects with the same client.
Hours against the retainer
Show hours used, hours included and any overage. It answers the obvious question before the client has to ask it.
Reimbursable expenses
Itemize travel and other pass-through costs separately from fees, with receipts available on request.

Invoice the retainer at the start of each month so your capacity is paid for before the work begins.
Learn the client's vendor rules at kickoff
Ask about required fields, approval chains and where invoices should be sent. It saves a round of rejected submissions later.
Summarize outcomes, not just hours
A short line on what was produced, such as a pricing model or a board presentation, reminds the client what the hours bought.
