Marketing Agency Invoice Template

Agency invoices often combine a monthly retainer, campaign fees and media bought on the client's behalf. Keeping those streams distinct makes approvals easier and protects your margin on management fees. Each gets its own line, with room for campaign names and billing periods.

What to include on a marketing agency invoice

  • Retainer period

Name the month or quarter the retainer covers. Billing in advance is common, so make the period unmistakable.

  • Media spend vs. management fees

Show ad spend as a pass-through and your fee on a separate line. Clients and their finance teams expect that transparency.

  • Campaign references

Tie project fees to named campaigns or briefs, so approvals reach the right budget owner.

  • Reporting attachments

Mention the performance report that accompanies the invoice. It connects what the client is paying to what they received.

Billing tips for marketing agencies.

  • Fund media before it runs

Ask clients to prepay ad budgets or put spend directly on their own card. Fronting large media costs can strain an agency's cash quickly.

  • Keep one-off projects out of the retainer

Scope creep often hides inside retainers. Billing extra campaigns separately keeps the monthly fee honest.

  • Align with the client's fiscal calendar

Ask when budgets reset and when invoices need to land to be paid in a given month. Timing can matter as much as the amount.

Marketing Agency invoicing, answered.

How do agencies invoice ad spend?

Many list it as a reimbursable line at cost, with a separate management fee calculated as a percentage or flat rate. Others have the client pay ad platforms directly and bill only the fee.

Should a retainer be billed in advance or in arrears?

Billing in advance is common because it secures your team's time for the month. Whichever you choose, state it in the contract and stay consistent so the client's finance team can plan.

Can I attach a report to the invoice?

Yes. Mention the report in the notes and send it alongside the PDF. Clients tend to approve faster when the results are in front of them.
