Invoice Template for Excel

This free invoice template for Excel does the arithmetic for you: enter a quantity and a rate, and the amount, subtotal, tax and total due update on their own. It's a single sheet that prints on one page and opens in Excel, Google Sheets, Numbers or LibreOffice.

Free to download. No sign-up, no email required.

Let the formulas do the adding.

What's in the Excel invoice template

  • One sheet named Invoice

Everything sits on a single tab: your business details at the top, the invoice number and dates beside them, and a Bill to block below.

  • Line amounts that calculate

Each Amount is Qty × Rate. Type a quantity and a rate, and the line totals itself.

  • A tax-rate cell

Enter your rate once, such as 8.25%, and Tax follows from it. Leave it at zero if you don't charge tax.

  • Subtotal and total due

Both are formulas, so the figure at the bottom always matches the lines above it.

  • US dollar formatting

Money cells show dollars and cents. For another currency, select the cells and change it in Format Cells.

  • A one-page print area

The sheet is set to print on a single page, so the PDF comes out as one tidy page.

  • Notes and payment terms

Space for a thank-you and the terms your client needs to pay on time.

Tips for people who invoice in Excel.

  • Type in the inputs, not the totals

Amount, Subtotal, Tax and Total due are formulas. Typing a number over one stops it calculating, so if that happens, copy the formula back from a neighboring row or start from a fresh download.

  • Keep each invoice on its own tab

Right-click the sheet tab, choose Move or Copy, tick Create a copy and rename the new tab with the invoice number. A year of invoices then lives in one file.

  • Preview before you print

If you add rows, open File > Print to check the page. Reset it with Page Layout > Print Area > Set Print Area if anything spills over.

Excel invoice templates, answered.

Which cells calculate automatically?

Amount on each line (Qty × Rate), Subtotal, Tax and Total due. Tax uses the rate in the tax-rate cell, so that's the only number you change for it.

How do I change the currency from US dollars?

Select the money cells, press Ctrl+1 (Cmd+1 on a Mac) to open Format Cells, choose Currency and pick your symbol. The formulas stay the same.

How do I add more line items?

Insert new rows inside the items table rather than below it, so the Subtotal includes them. Then copy the Amount formula down into the new rows.

Does it work in Google Sheets?

Yes. In Google Sheets, choose File > Open > Upload and the formulas keep working. The file also opens in Apple Numbers and LibreOffice Calc.

When is the online generator easier than Excel?

When you want your logo and a designed layout without adjusting print settings. The free invoice generator does the same math, adds your logo and makes the PDF in one step.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
