What's in the Google Sheets invoice template

  • A single Invoice sheet

    Your business details, the invoice number, the dates and a Bill to block, all on one tab.

  • Line amounts that calculate

    Each Amount is Qty × Rate, filled in as soon as you enter both.

  • Tax from one cell

    Type your rate into the tax-rate cell and Tax updates. Leave it at zero if you don't charge tax.

  • Subtotal and total due

    Formulas add up the lines and the tax, so the total always matches the rows above it.

  • Dollar formatting

    Money cells show US dollars. Switch currency with Format > Number > Currency, or Custom currency for other symbols.

  • Notes and payment terms

    A line of thanks and the terms your client pays by.

How to use it in Google Sheets.

  1. Step 1: Download the file

    Save invoice-template.xlsx to your computer. It's the same file offered on the Excel template page.

  2. Step 2: Open it in Google Sheets

    In Google Sheets, choose File > Open > Upload. Or upload it to Google Drive, right-click it and choose Open with > Google Sheets.

  3. Step 3: Fill it in

    Add your details, then a description, quantity and rate on each line. Set the tax-rate cell, and Subtotal, Tax and Total due update.

  4. Step 4: Export a PDF

    Choose File > Download > PDF. Pick your paper size, set the scale to Fit to page, then select Export.

Terms. Payment is due within 30 days of the invoice date. Please include the invoice number with your payment so we can match it to each property.

Tips for people who invoice in Google Sheets.

  • Duplicate the tab for each invoice

    Right-click the sheet tab, choose Duplicate and rename the copy with the invoice number. Each client's history stays in one file.

  • Protect the formula cells

    If others edit the sheet, select the totals and use Data > Protect sheets and ranges. Nobody can type over a formula by mistake.

  • Keep a payment log on a second tab

    List each invoice number, client, total, due date and the date it was paid. Sort by due date to see who needs a follow-up.

Do the formulas keep working in Google Sheets?

Yes. They're standard formulas, so line amounts, Subtotal, Tax and Total due calculate in Sheets just as they do in Excel.

How do I change the currency?

Select the money cells and choose Format > Number > Currency, or Custom currency for other symbols. The formulas don't change.

How do I fit the invoice on one page?

When you download or print, set Scale to Fit to page and choose Letter or A4 under Paper size. Narrow margins help if your notes run long.

Can my bookkeeper see the invoices?

Yes. Select Share and add their email with Viewer or Editor access. Send clients a PDF instead, so the figures can't change after they receive it.
