Tips for people who invoice in Google Docs.

  • Make a copy for each invoice

Keep one converted master in Drive and use File > Make a copy for every new invoice. The master stays blank.

  • Name files so Drive search finds them

Start each file name with the invoice number and client, such as INV-0042 Calloway Coaching. You'll find it in seconds at tax time.

  • Send a PDF, not a share link

A link to an editable doc can change after you send it. A PDF is a fixed record that you and your client both keep.

Google Docs invoice templates, answered.

Is there a Google Docs version I can copy directly?

The template is a Word file that becomes a Google Doc once you upload it. After that, File > Make a copy works like it does for any other doc in your Drive.

Will the totals add up in Google Docs?

No. Docs doesn't calculate, so amounts and totals are typed by hand. For automatic totals, upload the Excel file to Google Sheets instead, or use the free invoice generator.

How do I switch the page to A4?

Choose File > Page setup, set Paper size to A4 and select OK. Then check that the table and totals still sit on one page.

Can I email the invoice from Google Docs?

Yes. Choose File > Email > Email this file and attach it as a PDF, or download the PDF and attach it in your usual email app.

When is the online generator easier than Google Docs?

When you want the math done for you and your logo placed neatly. The free invoice generator handles both and makes the PDF, with no upload or Drive folder needed.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
