How to make a quotation in three steps.

Read: how to write an estimate
  1. Step 1: Add both parties

Enter your business and the client you're quoting. Give the quote a reference number and an issue date.

  2. Step 2: Itemize the price

List each product or service with a quantity and unit price, and note any tax so the total is complete.

  3. Step 3: Set validity and download

Choose a valid-until date and add your terms, then save the quote as a PDF to send to your client.

What a professional quotation includes.

Every template covers these for you. Fill in the fields and nothing important gets left out.

  • Quote number and date

A unique reference makes the quote easy to find when the client says yes.

  • Both parties

Your business details and the client's, so it's clear who is offering and who is buying.

  • Itemized pricing

Each item with a quantity, unit price and line total. No bundled figures to question.

  • Tax and total

Tax shown separately at its rate, followed by one total the client can approve.

  • Valid-until date

A firm date after which prices may change, which protects you when costs move.

  • Terms and acceptance

Payment terms, any deposit required to begin, and a line for the client to sign.

Send it. Get paid. Automatically.

Pro turns the invoice you just made into one that delivers itself, takes payment and follows up.

  • Send and track

Email a payable link and see the moment it's opened.

  • Get paid online

Card and bank payments, recorded against the invoice.

  • Reminders on autopilot

Polite follow-ups that stop when you're paid.

Questions, answered.

What is the difference between a quote and an estimate?

A quote commits you to a fixed price for a defined scope, for as long as it remains valid. An estimate is an informed approximation that can change as the work unfolds. If the scope is still uncertain, use the estimate generator instead.

Is the quotation generator free?

Yes. It runs in your browser, needs no sign-up and downloads a PDF at no cost. Three templates are included, and 40+ premium templates come with Pro.

How long should a quote be valid?

Many businesses use 30 days, while trades with volatile material costs often choose a shorter window. Whatever you pick, state the exact date on the quote so there is no ambiguity.

How do I save my quote as a PDF?

Select Download PDF and your browser's print dialog opens. Choose Save as PDF as the destination, and the file is ready to attach to an email.

Where is my draft stored?

Drafts save automatically on your device, in this browser. You can close the tab and come back to it later without creating an account.

What should I do once the client accepts?

Bill the agreed items with the invoice generator. Reference the quote number on the invoice so both records line up.
