How to make a credit note in three steps.

Read: invoice numbering
  1. Step 1: Reference the invoice

Enter the original invoice number and date, with your details and the customer's. Give the credit note its own number.

  2. Step 2: Itemize the credit

List what is being credited, whether returned goods, an overcharge or an agreed discount, with quantities and amounts.

  3. Step 3: Explain and download

Add a short reason and how the credit will be settled, then save the PDF and send it to your customer.

What a correct credit note includes.

Every template covers these for you. Fill in the fields and nothing important gets left out.

  • Its own number

A unique credit note number, often in a separate sequence, so your records stay in order.

The same customer named on the original invoice, with their billing address.

  • Credited items

Each item or charge being reversed, with the quantity and amount credited.

  • Tax adjustment

Any tax being credited, shown separately at the rate charged on the original invoice.

  • Reason and settlement

Why the credit was issued, and whether it will be refunded or applied to a future invoice.

Questions, answered.

What is a credit note?

A credit note is a document a seller issues to reduce the amount a customer owes on an invoice. It covers returns, overcharges, damaged goods and discounts agreed after invoicing.

Why not just edit the original invoice?

Once an invoice is sent, it should generally stay as issued. A credit note records the correction separately, which keeps your books consistent and is what many tax authorities expect.

Do I need to reference the original invoice number?

Yes. Citing the original invoice number and date ties the credit to the right sale and makes reconciliation simple for both sides.

How should I number credit notes?

Use a dedicated sequence, such as CN-0001, kept apart from your invoices. Our guide to invoice numbering explains the same principles.

Is a credit note the same as a refund?

Not quite. A credit note records that money is owed back to the customer. That amount can then be refunded or deducted from the next invoice.

Does a credit note affect sales tax or VAT?

Usually, yes, because it reduces the taxable amount of the original sale. Treatment varies by country and state, so confirm the details with an accountant.
