Contractor Invoice Template
General contractors juggle crews, suppliers and homeowners at once, so the invoice has to show where every dollar went. This layout separates labor from materials, lists approved change orders and keeps the job site address front and center. Clients get a clear record, and you get a document that holds up if questions come later.

Every phase of the job, accounted for.
What to include on a contractor invoice
Project address & permit number
List the job site separately from the client's billing address, and add the permit number when one was pulled. It ties the invoice to a specific property and inspection record.
Labor split from materials
Show labor hours and rates on their own lines, then group materials with receipts attached. Homeowners and lenders both look for that separation.
Change orders
Reference each approved change order by number, with its price. Unbilled extras are a common source of disputes, so put them in writing on the invoice itself.
Deposits and draws received
Subtract any deposit or earlier draw so the balance due is unmistakable. Clients should never have to reconstruct what they've already paid.

Billing tips for contractors.
Bill in draws on larger jobs
Tie invoices to milestones like rough-in, drywall and the final walkthrough. Cash then keeps pace with your costs instead of trailing behind them.
Get extras approved before the work
A quick written approval, even by text or email, turns an add-on into a billable line rather than a negotiation at the end of the job.
Know your lien deadlines
Many states set strict windows for preliminary notices and mechanics liens. The rules differ from state to state, so confirm yours with a construction attorney before you need them.
