Construction Invoice Template
Construction billing rarely fits on a simple receipt. Owners and lenders expect the schedule of values, retainage and lien waivers to line up with each pay application. Start from a layout that already speaks that language, then adjust it to your contract.

What to include on a construction invoice
Schedule of values
Break the contract sum into lines by trade or phase, then show percent complete for each. It's the backbone of every pay application.
Retainage withheld and released
State the retainage percentage, the amount held this period and the running total. Owners reconcile against these figures before releasing final payment.
Change order log
Number every approved change and carry it forward on each invoice, so the adjusted contract sum stays accurate from month to month.
Lien waivers and backup
Note which conditional or unconditional waivers accompany the invoice. Many lenders won't fund a draw without them.

Billing tips for construction companies.
Submit on the owner's calendar
Commercial projects usually have a monthly cutoff for pay applications. Miss it and payment can slip by weeks, so plan your billing around that date.
Collect subcontractor waivers early
Ask subs for their waivers before you submit, not after. A missing waiver from one trade can hold up the entire draw.
Keep percent complete tied to the field
Match your figures to daily logs and site photos. When an architect questions a number, the evidence is already in hand.
