Simple Invoice Template

A simple invoice template keeps just the essentials: who you are, who you're billing, what you did, what it costs and when it's due. It's a calm place to start if this is your first invoice, a side job or a one-off project.

Free to download. No sign-up, no email required.

Only what your client needs to pay you.

The six things a simple invoice needs

  • Your name and how to reach you

Your name or business name, with an email or phone number. Add your address if your client needs it for their records.

  • Your client's name

The person or company paying you, with an address if they're a business.

  • An invoice number

Start a sequence, such as INV-0001, and keep it going. It's how you both refer to this invoice later.

  • The date and due date

When you issued the invoice, and the day you expect to be paid.

  • What you did and the price

A line or two describing the work, with a quantity and rate if that makes the price clearer.

  • The total and how to pay

One clear amount, and the way you'd like to be paid, such as bank transfer or check.

Tips for people sending their first invoice.

  • Reuse your first invoice

Once your first one is done, save it as your own simple invoice template. Next time you only change the client, the work and the number.

  • Send it when the work is done

Invoice the day you deliver, while the job is fresh in your client's mind. Waiting weeks makes payment feel less urgent.

  • Say how you want to be paid

An invoice without payment details invites a reply asking how to pay. Put the answer on the page.

Simple invoices, answered.

What's the least an invoice needs?

Your details, the client's, a unique invoice number, the date, what you did and the total due. If you collect sales tax, show it on its own line, and see how to make an invoice for each part in detail.

I've never sent an invoice. Where do I start?

Open the free invoice generator, replace the sample details with your own and select Download PDF. Then attach the PDF to an email with a one-line note.

Do I need a registered business to send an invoice?

No. In the US you can invoice under your own name as a sole proprietor. Using a different business name may mean registering it with your state or county, so check the local rules.

What payment terms should I use?

For a small one-off job, due on receipt or 14 days is reasonable. Our guide to invoice payment terms explains the common options and when each one fits.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
