Your own business, on your own paper.

What a self-employed invoice should include

  • Your name and any trade name

As a sole proprietor, you are the business. Show your own name, plus your DBA or trade name if you use one, so payments match your bank account.

  • A unique invoice number

Number invoices in sequence, such as INV-0001 and INV-0002. It keeps your records in order and makes any invoice easy to find later.

  • Customer name and address

Bill the person or company that agreed to pay. For household jobs, note the service address if it differs from the billing address.

  • What you did and when

Describe the work and the date it was done. It answers questions before they're asked and gives you a clear record.

  • Sales tax, only where it applies

Sales tax rules vary by state and by what you sell. If you're required to collect it, show the rate and amount on a separate line.

  • How to pay you

List the payment methods you accept and who checks should be made out to. Clear details remove a common reason for delay.

Tips for self-employed sole proprietors.

  • Keep business money separate

A separate account for business income makes it easier to match payments to invoices and to see what you've earned at tax time.

  • Set aside tax from each payment

Clients usually don't withhold tax from what they pay you. Self-employed people generally pay their own income and self-employment tax, often in estimated payments, so ask an accountant how much to put aside.

  • Keep a copy of every invoice

Invoices and payment records support the income you report. Save each PDF in one place, named by invoice number and customer.

Self-Employed invoices, answered.

Do I need a business name to send an invoice?

No. A sole proprietor can invoice under their own legal name. If you trade under a different name, your state or county may require you to register it as a DBA, so check your local rules.

Do I need a tax ID on my invoice?

Usually not. A business customer that needs your taxpayer details will typically ask for a Form W-9, which you send separately, and keeping your Social Security number off invoices is safer.

How is this different from an independent contractor invoice?

An independent contractor invoice is written for a company that has hired you under a contract, so it leans on PO numbers, billing periods and accounts payable. A self-employed invoice also works for households and walk-in customers who simply need a clear bill.

Do self-employed people charge sales tax?

Only if your state taxes what you sell. Rules differ by state and by type of service, so check with your state's revenue department or an accountant before adding a rate.

How should I number my invoices?

Use a simple sequence that never repeats, with an optional prefix such as INV-0001. Our guide to invoice numbering covers the common formats.
