Independent Contractor Invoice Template

An independent contractor invoice template helps you bill a company the way its accounts payable team expects. It has room for the contract or PO number, the billing period and your hours or milestones, with payment terms that match your agreement. It's built for 1099 contractors, not employees on payroll.

Free. Edit online and download as a PDF.

Ready for accounts payable the first time.

What an independent contractor invoice should include

  • The name the client has on file

Invoice under the name on the W-9 you gave the client, or the business name on file with their vendor team. A mismatch can hold up payment.

  • Contract, SOW or PO number

Companies match invoices to an agreement before paying. Quote the statement of work or purchase order number exactly as it appears on their paperwork.

  • The billing period

State the dates the invoice covers, such as October 1 to 10. It prevents double billing and makes approval simple.

  • Hours, milestones or deliverables

Bill the way the agreement is priced: hours at your rate, a fixed fee per milestone or a set monthly amount.

  • Terms from the agreement

Use the payment terms you agreed, such as Net 30, and show the due date. If the contract sets a late fee, repeat it here.

  • Where to send payment

Many companies pay contractors by bank transfer. Give your preferred method, or confirm that your bank details are already on file.

Tips for independent contractors who bill companies.

  • Send your W-9 before the first invoice

Many companies won't set you up as a vendor until they have it. Sending it with your signed agreement keeps the first payment on schedule.

  • Ask who approves invoices

Find out the approver, the accounts payable inbox and any invoicing portal at kickoff. An invoice sent to the wrong place can sit unread for weeks.

  • Bill extra requests separately

Put work beyond the agreed scope on its own line and mention the email or change order that approved it, so the approver isn't left guessing.

Independent Contractor invoices, answered.

Do independent contractors need a tax ID on their invoices?

Usually not. Clients typically collect your taxpayer identification number on Form W-9, which you send them separately. That keeps your Social Security number or EIN off a document that passes through many hands.

Will I get a Form 1099 for this work?

If a business pays you enough in a year to reach the IRS reporting threshold, it will generally send you a Form 1099-NEC. Either way, report all of your business income and keep copies of your invoices.

Does sending invoices make me an independent contractor?

No. Whether you're a contractor or an employee depends on the working relationship, such as who controls how and when the work is done, not on the paperwork. If you're unsure, ask an accountant or an employment attorney.

What payment terms should a contractor use?

Use the terms in your agreement. Companies often ask for Net 30, and some pay on a fixed schedule; our guide to invoice payment terms explains the common options.

Can a company pay my invoice online?

Yes, with Pro. Every invoice you send can include a secure Pay button for card or bank payment; read more about online payments.
