Painting Invoice Template

Painting estimates are built on rooms, square footage, coats and prep, and the invoice should follow the same logic. Each area is listed with its finish and color, alongside paint and supplies. Clients end up with a record they can use for touch-ups years later.

A clean finish, right down to the invoice.

What to include on a painting invoice

  • Areas and surfaces

Break the job down by room or elevation, then by surface: walls, ceilings, trim, cabinets. It mirrors the estimate and makes changes easy to price.

  • Coats, sheen and colors

Note the finish and the color name or code for each area. Clients will be glad of it when touch-ups come around.

  • Prep work

Show patching, sanding, caulking and priming as their own labor. Prep is where quality lives, and it should be visible.

  • Paint and supplies

List gallons by product line and sheen, plus tape, plastic and other supplies if you bill for them.

Billing tips for painters.

  • Take a deposit for paint

Painting jobs often start with a large paint order. A deposit at signing covers it and secures your place in the schedule.

  • Walk the job before invoicing

A final walkthrough with the client catches touch-ups before the invoice goes out, so payment isn't held up by a punch list.

  • Price exteriors with weather in mind

Build in rain-day flexibility and say so in your terms. Clients accept delays more easily when they've been told in advance.

Painting invoicing, answered.

Should painters charge by the hour or by the room?

Room or square-foot pricing is easier for clients to compare, while hourly suits repair-heavy or uncertain jobs. A common approach is to price by area and charge hourly for unforeseen repairs.

Do I need to list paint products on the invoice?

It's helpful, though not required. Recording the product line, sheen and color code makes future touch-ups and warranty claims much simpler.

How do I handle color changes after work starts?

Treat it as a change order. Put the additional labor and paint on a separate line so the client sees exactly what the change cost.
