Trucking Invoice Template
Freight invoices live or die on the paperwork: load numbers, bills of lading and accessorial charges. Linehaul, fuel surcharge, detention and extra stops are laid out so a broker's accounts team can match them to the rate confirmation. Faster matching means fewer short pays.

What to include on a trucking invoice
Load and reference numbers
Include the broker's load number, your PRO number and any PO. Without them, freight invoices tend to sit unmatched.
Origin, destination and miles
Show pickup and delivery locations with dates and total loaded miles. That's how the linehaul rate gets verified.
Accessorial charges
Itemize detention, layover, extra stops, lumper fees and truck-ordered-not-used charges with times and receipts.
Proof of delivery
Attach the signed bill of lading or POD. Many brokers won't release payment without it.

Billing tips for owner-operators.
Send a complete packet the same day
Submit the rate confirmation, signed BOL and receipts together with the invoice. Incomplete paperwork is a frequent cause of delayed freight payments.
Document detention in real time
Record arrival and departure times at each stop, and notify the broker before free time runs out. It strengthens your claim.
Weigh quick-pay and factoring carefully
Both trade a percentage of the invoice for faster cash. Compare the true cost against your margins before committing.
