What to include on an auto repair invoice
Vehicle and mileage
Record year, make, model, VIN and odometer reading. Mileage ties every repair to a point in the car's history.
Customer concern and diagnosis
Write down the symptom the customer reported and what you found. It shows the work was necessary and authorized.
Parts with part numbers
List each part, whether it's new OEM, aftermarket or remanufactured, and the warranty that comes with it.
Labor time
Show labor hours per job at your posted shop rate. Customers compare this against the estimate they approved.

Billing tips for auto repair shops.
Get authorization in writing
Record approval for each repair before starting and note it on the invoice. Some states have specific rules for auto repair estimates and authorizations, so check yours.
Offer the old parts back
Returning replaced parts to customers who want them builds trust, and in some places it's a requirement on request.
Recommend, don't pressure
List deferred repairs in the notes with a priority. Customers often come back for them when they're ready, and they trust the shop more for it.
