Before you print: paper, margins and scale

  • Letter or A4

    The Word and Excel files are set up for US Letter and print on A4 too. For an exact fit, switch the size in Word (Layout > Size) or Excel (Page Layout > Size).

  • Margins

    Most home printers can't print to the very edge of the page, so leave the margins as they are. Text near the edge is the first thing to be cut off.

  • Scale

    Print Word files at 100% or Actual size. The Excel sheet is already set to fit one page, so there's no need to shrink it further.

  • Paper in the tray

    Check that the paper size in the print dialog matches the paper in your printer. A mismatch is a common reason a page shrinks or crops.

  • Printing from the generator

    Online, choose US Letter or A4 under Format, then select Print. The page size is set for you.

  • A copy for you

    Print two, one for the client and one for your files, or scan the finished copy before you hand it over.

Tips for people who bill on paper.

  • Print a stack ahead of time

    Keep a few copies of the printable invoice template in your bag or truck, numbered in sequence before you leave. No job waits for a printer.

  • Line through empty rows

    Draw a single line through unused rows and blank amounts, so nothing can be added after the invoice leaves your hands.

  • Keep a copy of every paper invoice

    Photograph or scan each one before you hand it over, and file it by number. Paper gets lost; a scan in a backed-up folder doesn't.

Will it print on A4 paper?

Yes. The files are US Letter and also print on A4. For an exact fit, change the paper size in Word or Excel, or choose A4 under Format in the free invoice generator.

Why does my invoice print too small or get cut off?

Check the print dialog: the paper size should match the paper in your printer, and the scale should be 100% or Actual size. For a spreadsheet, choose Fit to page instead.

Is a handwritten invoice acceptable?

A handwritten invoice does the same job as a typed one when it shows the same details: who you are, who you're billing, a number, the dates, the work, the total and how to pay. Write in ink and keep a copy.

How long should I keep copies of paper invoices?

Keep them for as long as your tax records need to be kept, which depends on where you file. Ask your accountant, and keep a scan in case the paper goes missing.

Can I print a finished invoice instead of a blank one?
