Videography Invoice Template

Video projects span preproduction, shoot days, editing and delivery, often with crew and gear in between. Giving each phase its own line lets a producer or marketing lead follow the budget at a glance. The format suits a brand film as well as a wedding highlight reel.

Free. Edit online and download as a PDF.

From shoot day to final cut, billed clearly.

What to include on a videography invoice

  • Production phases

Separate preproduction, filming and postproduction. Clients see where the budget went, and you can compare actuals against your quote.

  • Crew and equipment

List crew roles and day rates alongside any gear packages or rentals. It explains a total that might otherwise look high.

  • Deliverables and formats

Note running times, aspect ratios and file types delivered. Social cutdowns and caption files belong here too.

  • Revision rounds and licenses

State how many rounds of edits were included and the license terms for any music or stock footage you sourced.

Billing tips for videographers.

  • Bill in two or three stages

A deposit at booking, a payment after the shoot and the balance on delivery keep cash moving across long post schedules.

  • Charge for extra revision rounds

Define the included revisions in your proposal, then bill additional rounds at a set rate. The invoice quietly reinforces the boundary.

  • Pass through licenses with a note

When you buy music or stock footage, show it as its own line and mention the license type so the client knows what they own.

Videography invoicing, answered.

How do videographers usually structure payments?

A common split is a booking deposit and a final payment, with larger productions adding a milestone after filming. Spell out the schedule in your contract and reference it on each invoice.

Should raw footage be included in the price?

Raw files are often treated as an add-on because they take storage and time to prepare. If you offer them, list them as a separate line with the delivery method.

Can I bill for travel days?

Yes. Travel days are commonly billed at a reduced day rate, plus mileage or fares. Agree on the rate before the project begins so the invoice holds no surprises.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?

Yes. Upload your logo, choose a design and pick an accent colour, or enter your own hex value. 3 designs are free; Pro unlocks all 48.
