What to include on an event planning invoice

  • Event name and date

Clients may run several events with you, and naming each one keeps invoices and payments matched.

  • Planning fee structure

Show whether your fee is flat, a percentage of the budget or hourly, and which installment this invoice covers.

  • Vendor pass-throughs

List deposits or payments you made to vendors for the client separately from your own fee, with receipts.

  • Payment schedule

Summarize upcoming installments and their due dates. It keeps everyone aligned through the months leading up to the event.

Billing tips for event planners.

  • Bill in installments

Spread your fee across booking, the midpoint and the final weeks. It matches cash to the work, which peaks right before the event.

  • Avoid fronting vendor costs

Have clients pay vendors directly when possible, or collect the funds before you place deposits yourself.

  • Price scope changes as add-ons

A growing guest list, a second venue or an added rehearsal dinner is real work. Bill it rather than absorbing it.

Event Planning invoicing, answered.

How do event planners usually charge?

Common structures include a flat fee, a percentage of the total event budget or an hourly rate for partial planning. Flat fees are popular for their clarity, with adjustments when the scope changes.

Should vendor payments go through the planner?

It's often simpler for clients to pay vendors directly while the planner coordinates. If you do collect and pass through funds, show them separately on the invoice.

When should the final payment be due?

Many planners ask for the final installment two to four weeks before the event. That leaves time to confirm vendors without chasing money during the busiest stretch.
