Tree Service Invoice Template

Tree work is priced tree by tree, and much of the cost sits in rigging, equipment and cleanup. This layout names each tree and the work done, then lists stump grinding, haul-away and permits on their own lines. Homeowners and their insurers can see what every charge covers.

What to include on a tree service invoice

  • Species, size and location

Identify each tree by species, trunk diameter and where it stands on the property. It ties the price to a specific tree, which matters when several were quoted.

  • Method and equipment

Note whether the job was climbed and rigged, worked from a bucket truck or needed a crane. Equipment drives cost, and it explains why two removals priced differently.

  • Stump and cleanup scope

State whether stumps were ground and how deep, and whether logs, brush and chips were hauled or left. These are common questions after the crew leaves.

  • Permits and arborist reports

Some cities require a permit or an arborist's assessment before certain trees come down. List any fee you paid on the client's behalf at cost.

Billing tips for arborists and tree crews.

  • Price stump grinding by diameter

A per-inch rate with a minimum is easy to quote from the ground and easy for clients to check against the stump.

  • Publish storm rates in advance

Emergency calls at night or on weekends are worth more. Set an emergency rate before storm season so the invoice after a fallen tree isn't a shock.

  • Write up insurance jobs carefully

When a tree lands on a house, the homeowner's insurer may ask for an itemized invoice with photos. Keep removal, tarping and debris haul on separate lines.

Tree Service invoicing, answered.

Does homeowners insurance pay for tree removal?

Coverage depends on the policy and on what the tree damaged, so it isn't something the invoice can settle. Your part is an itemized invoice with dates, photos and a clear description that the homeowner can submit to their insurer.

Should I charge separately for stump grinding?

Most tree services do, because not every client wants the stump gone. Offer it as an option on the estimate, then show it as its own line on the invoice.

How do I bill for crane or bucket truck time?

Build it into the job price or list it as its own line at an hourly or daily rate. If you rent a crane, show the rental and operator at cost or with the markup you agreed in the proposal.
