Snow Removal Invoice Template

Snow work happens at 3 a.m., and the invoice has to show it happened. Each storm is listed with its date and accumulation, then plowing, shoveling and de-icing on separate lines. Property managers can match it to their contract and their own logs.

Every storm, every push, on the record.

What to include on a snow removal invoice

  • Storm dates and accumulation

List each event with its date and snowfall depth. It shows the trigger in your contract was met before the plows went out.

  • Service times

Record when each push or salt run happened. Commercial clients and their insurers may ask for timestamps if someone slips and files a claim.

  • Plowing and de-icing, kept apart

Separate plowing from shoveling and de-icing, and show material by application, bag or ton. De-icer use swings with the weather, so make the basis clear.

  • Contract type

Say whether the work falls under a seasonal contract, a per-event rate or hourly equipment time. Overage charges need that reference point.

Billing tips for snow removal contractors.

  • Bill each storm promptly

Invoice within a day or two of each event while the details are fresh. A winter of unbilled storms is hard to reconstruct in March.

  • Cap seasonal contracts

Flat seasonal pricing is easier to sell when it covers a set number of events or inches. Bill a clear per-event rate once the cap is passed.

  • Keep a photo log

Timestamped photos of cleared lots and salted walks support your invoice, and they help if a slip claim comes up later. Attach them or keep them on file.

Snow Removal invoicing, answered.

What's the difference between per-push and seasonal pricing?

Per-push or per-event pricing bills each storm, so income follows the weather. A seasonal contract charges a fixed amount in installments however much it snows, often with limits. Many contractors offer both and let the client choose.

Should salt and de-icer be billed separately?

Usually, yes. Material use changes with every storm, so billing it per application, bag or ton keeps your plowing rate steady. State the basis in your contract so the client can check it.

How do I invoice a seasonal snow contract?

Divide the seasonal price into equal installments, often monthly through the winter, and send one invoice per installment. Pro can send these as recurring invoices, while per-event extras go on a separate invoice.
