DJ Invoice Template
A DJ booking turns on a few numbers: the performance window, the overtime rate and the gear that comes through the door. This layout puts the set times up front, then itemizes sound, lighting, MC work and any extra hours. Couples, planners and corporate hosts can see what they booked and what ran over.

Set times, overtime and gear, all in one place.
What to include on a DJ invoice
Performance window
State the start and end times you agreed to play, plus the event date and venue. Everything else on the invoice, overtime included, is measured against it.
Overtime rate
Print your hourly overtime rate and the increment you bill in. When the host asks for one more hour at 10:55, nobody has to guess what it costs.
Equipment and add-ons
List the sound package, lighting, uplighting, ceremony audio or a photo booth as separate lines. Clients compare them against other quotes.
Setup and load-in
Note your arrival time and any fee for stairs, long carries or an early load-in. Setup can take hours that never show up in the performance window.

Billing tips for DJs.
Collect the balance before the event
Ask for the remaining balance a week or two before the date. Packing up at midnight is not the moment to chase payment.
Get overtime approved on the night
Agree in advance on who can approve extra time, such as the host or the planner. A quick text or signature when they do makes the final invoice easy.
Build packages by event type
Weddings usually need ceremony audio, an MC and a planning call, while a bar night doesn't. Set packages make quotes faster and invoices easier to read.
