Consistent sessions. Consistent payments.

What to include on a personal training invoice

  • Package and session count

State the pack size, sessions used and sessions remaining. It's the number clients care about most.

  • Session dates

List dates attended, particularly for pay-as-you-go clients or monthly billing, so attendance and charges line up.

  • Cancellation policy

Print your late-cancel and no-show rules on every invoice. A policy the client has seen in writing is easier to enforce kindly.

  • Program extras

Assessments, nutrition plans and app-based programming each deserve a line, so the core training price stays clear.

Billing tips for personal trainers.

  • Sell packs, not single sessions

Prepaid packs improve commitment and cash flow, and they reduce the number of small payments you have to track.

  • Put expiration dates on packages

A reasonable validity window keeps clients consistent and keeps years-old unused sessions off your books.

  • Use autopay for monthly programs

Recurring billing on a set date removes the end-of-month reminder and keeps the relationship about training.

Personal Training invoicing, answered.

Do personal trainers charge sales tax?

Many states don't tax personal training, though some tax certain fitness-related services. Check with your accountant to see how your state treats sessions, memberships and online programs.

How should I invoice a session pack?

Bill the pack as a single line with the number of sessions and the validity period. Track usage separately and show the remaining count on later receipts.

Can I charge for late cancellations?

Yes, if the policy is agreed at sign-up. Many trainers count a late cancel as a used session rather than issuing a separate fee.

Is this template free to use?

Yes. Open it in the invoice generator, replace the sample details with your own and download a PDF. No sign-up, no watermark.

Can I add my own logo and colours?
