What to include on an IT services invoice
Billing period and unit counts
For managed services, state the month and the number of users or devices covered. Headcounts change, and the invoice should show the number you billed.
Ticket or work order references
Tie hourly and on-site work to ticket numbers with a short summary. Office managers can match each charge to the problem they reported.
Covered versus billable work
Show which work fell inside the agreement, which was billable and which happened after hours at a higher rate.
Hardware and licenses, kept apart
If you resell equipment or software subscriptions, list them separately from labor. They're often taxed differently from services, and clients budget for them differently.

Billing tips for IT service providers.
Reconcile seat counts monthly
Check user and device counts against your tools before each invoice. Billing for people who left months ago erodes trust, and missing new hires costs you.
Quote projects outside the agreement
Migrations, office moves and hardware rollouts sit outside most monthly plans. Give them a fixed quote, then invoice them on their own.
Spell out what's included
List what the monthly fee covers, such as remote support, patching and backups, in your agreement. When a client asks why a visit was billable, the answer is already in writing.
